Your equipment list sets most of it. The heaviest pieces size the rubber floor system and any subfloor prep under it. Each extra 120V or 240V circuit is priced on its own, as is a subpanel if the panel is out of spaces, and the mirror wall and the ventilation are lines of their own.
Most of ours take 4 to 8 weeks, within a full range of 3 to 8. The floor is ordered once your equipment list is final, since the heaviest pieces decide the rubber system and the subfloor prep under it. A room that needs a building permit, for structure or new ductwork, waits for it before that work starts.
For structural work, yes. Ontario's Building Code Act puts construction under a building permit, and strengthening the floor under heavy equipment counts. Beyond that it depends on where you live, so we check your municipality's permit list against the gym plan before the layout is final.

It depends on where the rack stands. Ducts and beams take height first, so the layout puts the rack under the clearest stretch of ceiling. Where that still falls short, the floor would have to come down by underpinning the foundation walls, a structural job under a building permit.

It can, if the panel has spare capacity. The electrician adds up what the machines on your list draw against what the panel has left. If the capacity is there but the breaker spaces are not, a subpanel in the gym carries the new circuits. Only a house short on total capacity needs a bigger service.

Near the end. The wiring behind that wall has to pass ESA's rough-in inspection before drywall covers it, and the mirror goes onto the finished drywall, so it is among the last things fitted.

Yes, once the floor framing is checked against the heaviest pieces on your list. If it falls short, a beam or column goes in underneath to carry the rack and plates, and that structural work waits on a building permit.

Good to KnowEach municipality publishes its own list of work that needs a building permit, and for a gym the line to read is the one on ventilation. Barrie's list, for example, includes a new heating or ventilation system but not air-conditioning added to an existing one, so there, cooling the gym through the house's system skips the drawings and the permit wait. We check your municipality's list before that choice is made.
Power has its own filing. The 120V and 240V circuits for the machines go on an ESA notification of work before the electrician pulls any wire, so the equipment list has to be final by the electrical start date. That is why we ask for the whole list at the first visit, down to which machines run on 240V.
Racks and rigs go in on commercial-grade hardware and anchoring. A wall-mounted rack takes load every time a bar is racked or a band is looped around an upright, so it is fixed for that use, where the layout leaves the bar room to clear the walls.
Mirror walls are hung with the same grade of fixings. They face the rack, set back far enough that a bar or a dropped plate cannot reach the glass, and their position is fixed on the 3D layout render before any wire is run, so no outlet or switch ends up hidden behind a panel.
